Apleona is one of Ireland's leading facilities management providers. We currently have an opening for an experienced Contract Manager based in Dublin
Working pattern: Monday -Friday basis
Main duties and responsibilities
- Oversee the delivery of Soft and Hard FM services across multi-site operations
- Ensure consistent delivery of services in line with agreed SLAs, KPIs, and contractual requirements.
- Conduct regular site visits and audits to ensure operational performance, quality standards, and health & safety compliance.
- Implement best practice processes, service innovations, and continuous improvement initiatives across all contracts.
- Coordinate planned and reactive maintenance activities, ensuring minimal disruption to client operations.
- Hold full P&L responsibility for assigned contracts, ensuring financial performance, margin improvement, and cost control.
- Act as the escalation point of contact for clients, maintaining strong, transparent, and collaborative relationships.
- Lead regular client meetings and performance reviews, presenting service updates, KPIs, and improvement plans.
- Respond proactively to client issues, implementing corrective actions to ensure service excellence and retention.
- Understand client business needs and tailor service delivery to support their operational requirements.
- Lead and develop multi-disciplinary on-site teams, promoting engagement, accountability, and high performance.
- Conduct regular team briefings, training sessions, toolbox talks, and performance reviews.
- Support recruitment, onboarding, and ongoing development of staff across your portfolio.
- Maintain strong communication channels with FMs and team leaders to ensure smooth day-to-day operations.
- Ensure all work activities comply with company HSEQ standards, statutory requirements, and industry best practice.
- Maintain up-to-date risk assessments, method statements, SOPs, and site documentation.
- Lead by example in promoting safe working practices and supporting company safety initiatives.
- Investigate incidents, produce corrective action plans, and ensure follow through on improvements.
- Prepare monthly operational and financial performance reports for senior management and clients.
- Maintain accurate records, logs, and documentation related to service delivery and compliance.
- Ensure timely submission of reports, audits, purchase orders, and contract documentation.
Qualifications and experience
- Minimum 8+ years' experience in Facilities Management or a similar contract leadership role.
- Preferable 3+years in a support technical role
- Preferable - Member of the BIFM/IWFM
- Proven experience managing multi-site or complex FM contracts.
- Excellent communication, interpersonal, and client-facing skills.
- Experienced in managing multi-disciplinary teams and driving operational improvements.
- Strong understanding of health, safety, and statutory compliance within FM environments.
- Proficiency in MS Office; experience with CAFM/CMMS systems is an advantage.
- Strong problem-solving ability and a proactive, results-driven mindset.
- Professional, confident, and capable of influencing stakeholders and colleagues at all levels.
- Flexible, organised, and able to thrive in a fast-paced, multi-site environment
