Purpose of Role:
The Staff Compliance Administrator is responsible for ensuring all employee compliance requirements within the organisation are maintained in line with Irish legislation, HIQA standards, HSE requirements, TUSLA/CCU compliance, employment law, and organisational policies.
The role supports the safe and effective delivery of health and social care services by maintaining accurate staff records, monitoring mandatory compliance requirements, coordinating training compliance, and acting as a key liaison with regulatory bodies and internal departments.

Salary: €34,000 to €41,742 dependent on experience.

Main Duties and Responsibilities
Key Responsibilities
Staff Compliance
- Maintain accurate, up-to-date, and fully compliant staff files in accordance with:
- HIQA standards
- HSE requirements
- TULSA Central Compliance Unit requirements
- Employment legislation
- GDPR requirements
- Conduct regular audits of employee files to ensure compliance for internal and external inspections.
- Ensure all required documentation is current and appropriately stored, including:
- Contracts of employment
- Qualifications
- References
- Identification documents
- Professional registrations
- Mandatory training records
- Garda Vetting disclosures
- Passport, visa, and work permit documentation
- Manage the Garda Vetting process for all staff members.
- Monitor Garda Vetting renewal dates and ensure renewals are completed within organisational timelines.
- Liaise with employees and management regarding outstanding vetting requirements.
- Maintain confidential vetting records in line with data protection requirements
- Support preparation for announced and unannounced inspections and audits.
- Provide requested staff compliance documentation during inspections and reviews.
- Ensure prompt follow-up on compliance actions arising from audits or inspections.
- Upload and maintain records of all staff mandatory and professional training certificates.
- Monitor expiry dates for mandatory training and notify management and staff of upcoming renewals.
- Liaise with the Training Department to coordinate and schedule:
- Internal training sessions
- External training courses
- Practical/manual handling training
- Safety-related training
- Produce compliance reports relating to staff training status.
- Ensure all staff passports, visas, GNIB/IRP permissions, and work permits are valid and up-to-date.
- Monitor expiry dates and communicate renewal requirements to staff in a timely manner.
- Maintain records relating to employment eligibility in accordance with Irish employment legislation.
Essential Qualifications & Experience
- Minimum 2 years' experience in an administrative or compliance role within healthcare, social care, or a regulated environment.
- Experience working with HIQA, HSE, or TUSLA compliance standards.
- Experience managing confidential employee documentation.

- Proficient in Microsoft Office and HR/compliance management systems.
- Knowledge of Irish employment compliance requirements and GDPR.
Desirable
- Experience preparing for HIQA inspections.
- Knowledge of work permit and immigration compliance processes in Ireland.
- Office-based role with regular interaction with operational teams and external agencies.
- May require occasional travel between service locations.
